Senior Administration Officer


Location: Hybrid (3 days in the office and 2 at home)

Salary: £34-38k DOE

Contract: FTC Until Mar 26


We are seeking a highly organised, detail-focused Senior Officer to play a central role in delivering the Help to Grow: Management Programme – a flagship national initiative. This is a varied and impactful position that combines operational excellence, stakeholder engagement, and event coordination in a fast-paced environment.


About the Role:


Working closely with the Head of Alumni Events and the Director, you will ensure the smooth and efficient running of internal operations for the programme. This includes:


  • Managing alumni event processes, from funding applications to on-the-day delivery.
  • Supporting contracting, curriculum development, and programme guidance for delivery partners.
  • Keeping our CRM systems up-to-date and producing regular performance reports.
  • Coordinating meetings, panels, and advisory boards, and providing secretariat support.
  • Overseeing communications and content creation for alumni networks.
  • Maintaining the highest standards of quality, compliance, and efficiency across all workstreams.

Key Responsibilities:


  • Assess and process business school alumni funding applications and claims.
  • Develop and maintain tracking processes, guidance handbooks, and templates.
  • Produce RAG and status reports for senior management.
  • Generate engaging alumni communications and share best practice.
  • Arrange Alumni Advisory Panel meetings, including agenda setting and pre-reading.
  • Provide on-site support at regional alumni events (travel required).
  • Support contracting and stakeholder engagement.
  • Organise curriculum project meetings, proofread content, and coordinate surveys.
  • Work with finance on purchase orders and reconciliations.
  • Manage communications with third-party evaluators and mentoring providers.
  • Maintain contact lists, shared inboxes, and digital learning platform documentation.


Experience & Skills:

  • Minimum 3 years’ experience in senior-level administration.
  • Track record in cross-functional projects and policy development.
  • Event coordination experience in a fast-paced environment.
  • Excellent communication, organisational, and time management skills.
  • Proficiency in Microsoft Office and working with CRM systems.
  • Strong attention to detail, proof-reading skills, and documentation accuracy.
  • Confident in liaising with multiple stakeholders.


Desirable

  • Experience in higher education or non-profit sectors.
  • Exposure to contracts and legal teams.
  • Knowledge of Salesforce, Dynamics, or similar CRM systems.
