Job Title: Procurement and Contract Manager 

Location: Farringdon, London 

Reports to: Chief Financial Officer 

Contract: Permanent, Full-time

Salary : £45,000-£50,000 dependent on experience

We develop creative and strategic campaigns that consistently generate mass media coverage.  We are now looking for a Procurement and Contract Manager to join our team.


Job Overview: 

The Procurement Manager will play a crucial role in the effective procurement and contract management processes across various departments within the organisation.  


This role is responsible for ensuring that all customer and supplier agreements are in place in accordance with internal procedures. 


The successful candidate will work closely with the sales, legal, creative and finance teams to coordinate the contract and onboarding process with customers. 


Additionally, the Procurement and Contract Manager will lead efforts in supplier onboarding, due diligence, and sustainability initiatives, contributing to the organisation's overall decarbonisation goals. 


Key Responsibilities: 

 

Contract Management: 

  • Collaborate with the sales team and legal to ensure that contracts and agreed terms and conditions are established and aligned with project and customer requirements. 
  • Co-ordinate the customer contract process to ensure contracts are properly prepared with all relevant details included, ready for review and sign off by legal. 
  • Maintain and track contract records to ensure compliance with terms and conditions and negotiated licensing arrangements with contributors, Ensuring all parties involved in the fulfilment of client contracts are aware of any contract terms which impact their performance, especially any restrictions, and that any restrictions e.g. on licensing of IP rights have been agreed with the client.  


Supplier Onboarding and Due Diligence: 

  • Develop and implement a structured supplier onboarding process, ensuring that all suppliers meet company standards. 
  • Conduct thorough due diligence on potential suppliers, including modern slavery, anti-bribery, anti tax evasion and right to work assessments together with ethical assessments, to ensure compliance with corporate responsibility goals. 
  • Maintain and update the supplier database, ensuring that supplier performance is regularly reviewed and suppliers are audited as needed. 


Sustainability and Decarbonization: 

  • Collaborate with third-party suppliers to measure the company’s annual carbon footprint. 
  • Contribute to the development and delivery of the company’s decarbonization plan, ensuring sustainability objectives are met. 
  • Monitor and report on the progress of the decarbonization plan, working with internal teams to identify opportunities for improvement. 


Procurement Strategy and Compliance: 

  • Develop and execute procurement strategies that optimise cost, quality, and supplier performance. 
  • Maintain and improve procurement policies and procedures to ensure they are in line with industry best practices and compliance standards. 
  • Assist in managing procurement budgets and monitoring procurement activities to ensure cost efficiency. 


Risk Management: 

  • Identify, assess, and mitigate risks associated with procurement processes and supplier relationships. 
  • Work closely with internal stakeholders to develop strategies to manage risks associated with contracts, suppliers, and legal matters. 


Required Skills and Qualifications: 

  • Minimum of 5 years of experience in procurement, contract management, or related roles, preferably in the PR/Media industry. 
  • Strong knowledge of procurement best practices, and supplier management. 
  • Experience working with legal teams to draft, review, and manage contracts. 
  • Understanding of sustainability practices and decarbonisation strategies. 
  • Ability to communicate effectively across teams and departments. 
  • Strong negotiation, problem-solving, and decision-making skills. 
  • Proficiency in procurement software, Microsoft Office Suite, and other business tools. 


Desirable Skills: 

  • Experience in managing carbon footprint measurement and sustainability projects. 
  • Familiarity with ethical procurement practices, including modern slavery compliance. 
  • Certifications such as Certified Professional in Supply Management (CPSM) or Chartered Institute of Procurement & Supply (CIPS) certification. 
  • Knowledge of the latest industry trends and regulations in procurement and sustainability.
