The Opportunity
As a Legal Secretary within the Private Client team, you will provide high-quality secretarial and administrative support to fee earners, helping to ensure work is delivered efficiently, accurately and to the highest professional standards. Key Responsibilities
You will play a key role in supporting the Private Client team with a broad range of secretarial, administrative and client-facing duties, ensuring work is completed accurately, efficiently and in line with professional and compliance standards. This is a varied role that combines traditional legal secretarial support with Private Client-specific administrative responsibilities.
You will be responsible for:
Providing high-quality typing, secretarial and administrative support to fee earners within the Private Client team, ensuring work is prioritised effectively and completed to a consistently high standard
Producing correspondence and legal documents through audiotyping and word processing, including preparing first drafts where appropriate and working from established templates and precedents
Supporting the preparation of Private Client documentation including Wills, Codicils, Living Wills, Lasting Powers of Attorney, Deeds of Revocation and Deputyship Orders
Assisting with the full lifecycle of legal files, including file opening, issuing client care documentation, maintaining accurate records, file closure and archiving
Using case management and document systems to manage files, save and retrieve documents, and ensure all information is stored accurately and in the correct place
Managing incoming and outgoing post, scanning, printing, photocopying and other day-to-day administrative duties to keep the department running smoothly
Acting as a professional first point of contact for clients, both over the telephone and in person, delivering a courteous, efficient and client-focused service at all times
Managing diaries, arranging appointments, booking meetings and supporting fee earners with day-to-day organisation and scheduling
Assisting with the handling, retrieval, storage and release of original legal documents, ensuring procedures are followed correctly and confidentiality is maintained at all times
Completing relevant forms, carrying out Land Registry searches and supporting the accurate preparation of estate administration paperwork
Providing administrative support in relation to trust and deposit account documentation where required
Supporting billing, time recording and other matter-related administration to help fee earners manage their workload efficiently
Helping to ensure compliance with internal procedures, quality standards and regulatory requirements
Building strong working relationships across the wider team, remaining flexible in your approach and providing support wherever needed to ensure a high standard of service delivery
About You
To be considered, you should have:
Previous experience as a Legal Secretary, or strong secretarial experience gained within another professional environment
Experience using digital dictation tools
Strong Microsoft Office skills and general confidence with legal or document management systems
Fast and accurate typing skills
Excellent spelling, punctuation and attention to detail
Strong organisational skills with the ability to manage competing priorities and meet deadlines
A calm, professional and approachable manner
Strong communication skills and a client-focused attitude
A team-oriented, proactive mindset with a genuine can-do approach
An understanding of legal documentation, formatting and administrative processes
