This role is in support of Cencora's wholesale distribution services in Europe operating through our Alliance Healthcare business.
Job Purpose
We are seeking a HR & Payroll coordinator to work as part of our shared services Team. In this pivotal role, you will manage key HR and Time & Attendance functions, ensuring our team members receive accurate and timely payments. You will also maintain essential employee data and provide expert advice on HR policies, contributing to a supportive workplace culture.
This role is based on our Leigh site (WN7 3XJ) reporting to the Regional Team Manager. Weekly hours are 37.5 Monday to Friday with hybrid working (office working required at least 3 times per week).
Salary: £26,000 - £29,000 per annum.
Principal Accountabilities
- Monitor and control people leader approvals of overtime and absence including inputting annual leave & absence into the T&A system (once approved by management) for all team members.
- Calculate and control sickness absence payments for all team members ensuring Company Sick Pay is applied as per entitlement and policy and Statutory Sick Pay is applied as per HMRC legislation.
- Assist in the onboarding process for new hires, including preparing paperwork, obtaining references, and ensuring a seamless integration into the company.
- To calculate and control final payments for leavers ensuring the HR & T&A systems are maintained and updated accurately for all team members ensuring any overpayment/underpayment process ensuring production of letters and all documentation is processed as per Standard Operating Procedures.
- Utilise Workday and Promark in a timely manner to process team member data changes as well as paperwork completed for Payroll.
- Verify first and second payroll run and make any necessary amendments within set deadlines. Identification of any payroll errors ensuring appropriate action is taken in a timely manner
- Ensure all employee information is securely filed and access to personnel data is strictly controlled.
- Respond to requests for data from internal and external sources ensuing that all SLA’s are met in accordance with Service Now guidelines
- Train and maintain standards for a back up HR & Payroll Coordinator to cover payroll in their absence (where applicable)
- Support with DSARS and ensuring that they are completed in line with legislation.
- Weekly production of the Service Centre Labour Cost Report ensuring timely distribution to relevant Managers.
- Prepare and run weekly transmission data adhering to set deadlines, retaining documentation as per SOP.
- Produce all payroll reports that are required on a weekly/monthly basis ensuring deadlines are met
- Provides 1st level employee relations advice, for example maternity rights; holiday entitlements; sickness and absence management and flexible working requests. Directing people leaders to correct policies on MyHR. Identifies more complex cases and escalates appropriately.
- Collaborate closely with other members of the shared service team to ensure consistent delivery of high-quality HR services and adhering to strict SLA’s and processes
- Other ad hoc duties will be expected of the job holder, to include HR related tasks (note taking, drafting letters for management), managing the NI Jobs portal and Comms Champ.
Role holder will be required to undertake CIPD Level 3 Apprenticeship (compensated by company)
Essential
Knowledge, Skills and Experience Required:
- High visual accuracy
- Good communication skills, to support with sensitive and critical personnel conversations
- Good organisational skills
- Strong technical aptitude with expertise in working with HRIS systems; proficiency in Microsoft Office Suite is also required, particularly Excel, Share point and One Drive
- Good verbal and written communication skills to include telephone technique
- Intermediate/advanced Numeracy
- Basic payroll knowledge including standard terminology
- Procedures relevant to Payroll and HR
- Health & Safety requirements
- Security procedures
- HR Knowledge
- Good working knowledge of the following systems: ProMark, Workday, Service Now
- CIPD Level 3 Apprenticeship support provided
- Hybrid working - 2 days working from home per week
