Executive Assistant

The Executive Assistant role will be primarily responsible for providing support to our UK Director across a range of tasks. They will also provide wider administrative, new business development and project management support to the management team and across the UK team’s projects.
The below should be taken as an indicative, but not exhaustive, list of responsibilities.
Executive support
*
Diary management: proactively managing a complex and shifting calendar at pace, scheduling internal and external meetings, prioritising competing demands on the UK Director's time, and ensuring adequate preparation time ahead of key engagements
*
Correspondence and stakeholder-management: Triaging requests and other correspondence where necessary; drafting responses to emails and letters; acting as a first point of contact with some external stakeholders.
*
Organising meetings: Preparing briefing notes, agendas, and background research ahead of meetings; attending key meetings to take minutes where required; tracking and following up on actions and decisions.

Travel and logistics: Arranging domestic and where necessary international travel, accommodation, and itineraries; managing expenses and ensuring value for money

Coordinating event appearances and external engagements: Coordinating the UK Director's participation in public events, panels, and speaking engagements; liaising with event organisers; preparing talking points and relevant materials.

Proofreading including data-checking: Checking external outputs are high-quality, without errors or typos and represent More in Common’s views and findings.

Comms and media support: Working with our comms team and external media support to coordinate and brief the UK Director on media opportunities.

Drafting briefings: Working with research colleagues to draft briefings for the UK Director and other staff on key external engagements.
Administrative and project-management support

Inbox management: overseeing and triaging general enquiries to non-personal More in Common inboxes
*
Staff recruitment logistics: coordinating recruitment processes of new staff, including liaising with candidates and setting up interviews.
*
Coordinating project management: overseeing, updating and coordinating staff to update our system for managing new opportunities and current projects, including tracking key milestones and deliverables.
*
Coordinating project contracting and invoicing: Liaising with our finance team to ensure all income is properly invoiced.
*
Supporting with new business proposals, tenders and grant applications: Supporting staff writing proposals for new projects - from potential clients, funders or other providers.

Assisting with logistics-management for in-person focus groups and events: Working with events and operations colleagues to ensure venues are booked, registrations are smooth
*
Newsletter and contact-management: coordinating the production and distribution of external newsletters and updates, including drafting content, managing mailing lists, and tracking open and engagement rates to inform future communications
QUALIFICATIONS AND EXPERIENCE
We look for great people before we look for specific qualifications and experience - so we are always open to applications from candidates with great potential but limited experience. Nonetheless, the following are the main elements we’re looking for:

Excellent organisational skills, including being able to juggle lots of different tasks at once.

Experience providing organisational or administrative support in some capacity.
*
The ability to deliver at pace, and adjust to new priorities regularly - coordinating multiple tasks simultaneously while ensuring outputs are high-quality.

Excellent attention to detail.
*
The ability to prioritise effectively between multiple requests.
*
A positive, can-do attitude - the ability to deal with challenging situations with humour and discretion where necessary, and a good understanding of when confidentiality is required.
*
Strong interpersonal skills, including the ability to liaise with very senior external stakeholders confidently and efficiently.
*
Excellent written communication skills, including the ability to write well and at pace for a range of audiences.
*
A willingness to be curious about, rather than critical of, worldviews you disagree with.
*
Experience delivering tasks and projects independently and as part of a team - from inception through to delivery and evaluation.
*
A strong understanding of the UK political system and a keen interest in current affairs and UK public policy.
COMPENSATION AND CONDITIONS
Competitive salary (£33,000-£43,000) and excellent benefits including private health insurance along with a generous leave policy. Personal learning and growth budget.
