Purpose of the role
The post-holder will be responsible for a range of administrative duties relating to the maintenance of student records. They will work collaboratively within the team and with colleagues across Student and Academic Services to ensure that Student Records functions effectively support the work of the institution.
Main duties and responsibilities
Maintain accurate and up-to-date student records, including programme and module data, progression outcomes, withdrawals and interruptions. This includes general record management, preparing data for statutory returns, attaching modules, creating assessment cohorts, and producing documentation for Award Boards.
Support the Student Records Lead in managing and delivering the team’s workload, taking on delegated responsibilities and deputising for the Team Lead during periods of absence.
Regularly review, monitor and verify student records to ensure the accuracy, consistency and integrity of all data held.
Provide proactive support to other Records teams within Student and Academic Services, particularly during peak workload periods.
Undertake additional duties as required by the Student Records Lead to support Student and Academic Services, including assisting with graduation ceremonies, registration, and clearing activities.
Uphold the security and confidentiality of all student record data managed within the section, complying fully with data protection requirements.
Support the Student Records Lead during the exam board periods by proactively assisting with the coordination of activities, ensuring student records are accurately updated, validated and maintained in line with Exam Board decisions.
Coordinate responses to requests from students and colleges for amendments to student records, providing guidance on the implications of changes and advising on relevant policies, including NCG HE Centre Regulations and Student Loans Company rules.
Ensure the timely and accurate maintenance of enrolment, registration and fee records within the student database, as directed by the Student Records Lead.
Assist the Student Records Lead in producing timely and reliable management information for use by the other teams.
Contribute to an effective student data journey by working proactively with other teams and managers to support accurate processes and positive student experience.
