Role purpose

We are currently recruiting for a Store Maintenance & Facilities Coordinator to sit within the European Store Planning team. Based at one of our London or Paris Offices, you will work closely with internal teams to lead store maintenance and minor works projects across the European zone which consists of over 100 stores and counter spaces. This role is both administrative and hands-on, requiring daily involvement in both strategic planning and the operational execution of maintenance tasks.

Role responsibilities include, but are not limited to –

· Lead all preventive, reactive and cosmetic maintenance works across Aesop store and office environments.

· Regularly visit stores and offices to inspect maintenance standards, identify potential issues, and engage with store teams to understand their maintenance needs.

· Conduct daily reviews of maintenance requests, prioritise tasks, and deploy resources to address reactive and planned maintenance needs efficiently.

· Be the main contact point for retail teams to log requests through our ticketing platform. You will be the first point of contact for emergency maintenance issues and ensure rapid response and resolution to minimize operational disruptions.

· Provide regular reports on maintenance activities, budget status, and project progress to internal teams, using insights to drive process improvements.

· Project manage assigned minor works projects, from concept through to practical completion, respecting approved budget and timelines.

· Coordinate an annual survey of European stores and counters, noting any immediate changes updates required, plan the action of these accordingly. Top performing doors will be inspected on a quarterly basis.

· Responsible for the storage and logistics of our retained FF&E items at key warehouse locations across Europe. You will manage the retained item list, ensuring pieces are accurately documented for potential reuse in future store openings and refurbishments.

· Ensure all maintenance work meets the highest quality standards and complies with local regulations and safety standards, challenging works that are not in line with Aesop design and sustainability principles.

· Establish long lasting, precise and cost-effective partnerships through commercial agreements with maintenance contractors across each European country.

· Continuously assess and improve maintenance procedures and practices, seeking efficiencies and enhancements in workflow and service delivery.

This is a full-time position operating with a hybrid working pattern, attending Aesop’s London Bridge-based Head Office three days per week. We are also open to receiving applications from Paris-based candidates, who if successful, would work on the same hybrid pattern from our Paris Head Office, situated in the 11th arrondissement.

What we are looking for

· A background in design, architecture, construction or facilities management.

· Proven experience in a coordination role or similar.

· Highly organized, proactive and detail oriented.

· Sound technical knowledge of construction and service installations.

· Solid financial acumen with demonstrated experience in budget management and cost control.

· Proven stakeholder management with a solution-oriented approach.

· Experienced in tracking projects and expenses.

· Strong written and verbal communication skills.

· Proficient in Microsoft Office and Adobe Creative Suites

· Open mindset and deep curiosity seeking to understand others, listen without judgement and act on diverse perspectives
