The Role

We are seeking a proactive and organised Site Administrator & Communications Coordinator to support the day-to-day operations for a large and successful company.


This is a varied, hands-on role providing administrative support across multiple departments, including HR, operations, and senior leadership. You will play a key part in ensuring smooth site coordination, efficient onboarding processes, and clear internal and external communications.


This position is ideal for someone who thrives in a fast-paced environment, enjoys variety, and is confident managing multiple priorities.


Key Responsibilities

  • Coordinate site visits, including diary management, logistics, and stakeholder liaison
  • Organise travel, accommodation, inductions, and onboarding for staff and visitors
  • Welcome and host visitors to site
  • Schedule and coordinate meetings across teams and external stakeholders
  • Assist with onboarding, recruitment administration, and employee records
  • Support HR processes and ensure documentation is accurate and up to date
  • Manage shared inboxes, ensuring timely responses and escalation where required
  • Support company communications, including website updates and internal messaging
  • Maintain office resources, supplies, and shared spaces
  • Manage notice boards and communication displays
  • Prepare, format, and maintain reports, documents, and presentations
  • Assist with requisitions and permit-to-work documentation (RAMS, forms, etc.)
  • Maintain environmental compliance records and systems
  • Process expenses for senior leadership and board members


Skills & Experience

  • Previous experience in an administrative, office coordinator, or site admin role – preferably within construction or similar
  • Strong written and verbal communication skills
  • Excellent organisational skills with the ability to manage multiple tasks
  • High attention to detail and accuracy
  • Proactive, flexible, and able to work independently
  • Confident using Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to handle confidential information with discretion
  • Positive attitude with a willingness to learn
  • Able to thrive in a fast-paced, project-led environment
  • UK driving licence and own transport
