ROLE OVERVIEW // We are recruiting a Project Coordinator to work within the Technology Team, based at the firm’s Head Office in London. This role is designed to provide additional resource to the PMO team at a strategically important time. The primary function of the role is to support the PMO Head and project managers across the portfolio of work taking place. This role plays a key part in ensuring that project management standards are upheld and that the necessary documentation, reporting, and communication flows are in place to enable successful project delivery. Some of the key tasks will be centred around – planning certain parts of the projects with the potential to run some of the smaller work items, monitoring of progress across the portfolio, coordination of meetings and general oversight of the team and their deliverables for the period. KEY RESPONSIBILITIES // The key responsibilities of this role are set out below and there may be others which are not listed. You may be required on occasion to work outside our normal working hours of 9:30am to 5:30pm. PMO Operations and Methodology: Support the Programme Lead in managing the overall PMO methodology, artefacts, and document standards. Maintain project setup and artefacts within the document management system (DMS), ensuring version control and compliance. Coordinate inputs from project teams for the preparation of weekly, monthly, and ad-hoc PMO and management reports. Project Governance Support: Assist in the preparation and delivery of key project governance forums including Steering Committees and Gate reviews. Support milestone tracking and readiness for PM gates and project handover to service operations or vendors. Assist in the maintenance of core registers such as RAID logs, project change controls, action logs, and communication plans. Support the identification and management of project and programme-level dependencies. Assist with managing project escalations by tracking issues, coordinating responses, and supporting resolution planning. Project Support and Coordination: Provide administrative support across the project lifecycle, including scheduling and facilitating meetings, workshops, and project events. Prepare agendas, track attendance, and produce accurate minutes for project meetings. Support the onboarding process for new project team members, including maintaining organisation charts and welcome packs. Reporting and Documentation Management: Oversee the quality, storage, and timely completion of project documentation. Ensure documentation is accurately filed within the DMS, supporting both compliance and audit-readiness. Manage the correspondence list, tracking formal communications and documenting internal/external communication flows. Stakeholder Engagement and Cross-Team Liaison: Liaise with teams such as Procurement, Security, and Facilities to ensure alignment with project timelines and dependencies. Handle day-to-day queries and assist team members with administrative or coordination needs. Act as a key contact point for project-related administrative support across both project and BAU initiatives. General Administrative Support: Provide additional support to project managers on IT and BAU programmes as needed. Perform administrative tasks such as printing, scanning, and collating documentation in support of governance, audit, and reporting requirements CANDIDATE PROFILE // Candidates for this position must have: Essential Experience in a similar administrative or coordination role, ideally within a project or PMO environment. Basic understanding of project management principles (formal training or certification an advantage). Excellent organisational and prioritisation skills, with a proactive and detail-oriented approach. Strong computer literacy – advanced in Microsoft Office (Excel, PowerPoint, Word); MS Project or other PPM tools an advantage. Strong verbal and written communication skills. Ability to manage multiple competing priorities and work effectively as part of a team. Fluent in written and spoken English. Desirable Previous experience in a law firm or professional services environment. Familiarity with legal technology tools and legal-specific project environments.
