Background to the role:
Working across various departments and liaising with HR and the Executive Office to ensure the smooth running of the daily operations and the accurate, efficient and sensitive flow of communication between various stakeholders.
Responsibilities
- Oversee scheduling and maintaining rosters for staff and freelancers.
- Coordinate and promote cross-functional communication between departments to ensure smooth workflow and maximise efficiency on resource allocation.
- Coordinate Freelancer bookings and track costs – maintain freelance contact list; understand freelancers and staff and prioritising them correctly. Ensure balance of shifts among different freelancers and correct mix of staffing each day. Keep track of freelancer’s availability for emergency needs.
- Support line managers in compiling and submitting monthly freelance budget projections, monitor budgets and report financials.
- Check, reconcile and approve all related freelance timesheets for payment.
- Use internal system to monitor sickness or absences as well as leave allowances, approve or deny requests and update absences and TOIL for staff members, report to EP and HR where relevant.
- Coordinate multiple deployments and travel, issuing story codes, requesting quotes, collating and processing expenses and reimbursements (UK and International).
- Assist in onboarding freelancers – collecting relevant documents and prepare internal documentations; booking freelancers and signing them into the office.
- Arrange visas and accreditation; maintain passports/key docs Trello board for travellers.
- Manage Taxi codes, book and reconcile taxis.
- Manage parking spaces.
- Coordinating events and OB’s by attending planning meetings, visiting event spaces, organising operational requirements and maintaining budgets.
Qualifications
- Bachelor's degree or equivalent experience
- 5+ years of TV/Broadcast Production Management/Coordinator experience
- Strong organizational, planning and managerial skills
- Good knowledge of TV News and Digital production
