Personal Assistant / Operations Co-ordinator – Eye Right Referrals

Are you looking for an exciting opportunity to shine, and be part of shaping a new Veterinary Referral Hospital in Scotland?

Eye Right Referrals is a growing specialist veterinary ophthalmology service, and we are looking for a highly organised, proactive Personal Assistant to work closely with the director and support the smooth running of the business.

This is not a standard admin role — it’s an opportunity to become a key part of a friendly, ambitious referral service and help shape how the business operates as it continues to grow. For the right candidate, this role has the potential to develop into a Practice Manager position over time.

The Role

You will act as the organisational backbone of the business, helping to manage the day-to-day flow of work and ensuring everything runs efficiently behind the scenes.

The role will include:

  • Diary and appointment coordination across multiple clinics
  • Managing emails and prioritising communication
  • Liaising with contractors, advisors, referring veterinary practices and clients
  • Supporting with referral bookings and case organisation
  • Assisting with basic accounts/admin tasks
  • Assist with Marketing and CPD events
  • Helping to improve systems and processes as the business grows
  • Assisting with sourcing equipment and consumables
  • Assisting the project management team with development of a brand new referral hospital
  • General PA support to the director

About You

We are looking for someone who:

  • Is naturally organised and enjoys creating structure
  • Is proactive and takes initiative without needing close supervision
  • Communicates confidently and warmly with clients and colleagues
  • Has excellent attention to detail
  • Is calm under pressure and able to prioritise effectively
  • Enjoys being part of a growing business and getting involved

Experience as a PA, administrator, or within a veterinary/medical setting is helpful, but attitude and approach are more important than specific experience.

Flexible / hybrid, with some in-person work depending on business needs.
