PA to the Chief Sustainability Officer & Head of Physical Markets

The London Metal Exchange is the world centre for industrial metals trading. The Sustainability and Physical Markets team (“SPM”) delivers the LME’s physical market and sustainability activities, managing strategy, operations, and regulatory compliance across a network of producers, warehouses, and approved brands. This role supports the Chief Sustainability Officer, Head of Physical Markets, and the SPM Chief of Staff. It provides daily operational assistance, ensuring the team is organised, efficient, and acts as a single cohesive department. Key duties include managing diaries, booking travel, coordinating meetings, maintaining digital records, improving processes, preparing meeting materials, and serving as a primary point of contact for internal and external stakeholders. Responsibilities
Day‑to‑day management of the diaries of the Chief Sustainability Officer, Head of Physical Markets, and SPM CoS, including scheduling meetings and booking meeting rooms. Booking travel in accordance with company policy for senior team members. First point of contact with the SPM team for external stakeholders, providing a friendly and efficient service. Running team meetings, managing agendas, and chairing meetings. Maintaining cleanliness and orderliness of the team’s digital files and records on internal databases. Implementing processes to improve coordination and efficiency. Preparing meeting materials, proofing documents, and conducting limited background research. Note‑taking in a variety of meetings, following up on action items, and logging purchase orders, invoices, and contracts. Supporting the management and tracking of the SPM team budget and deadlines. Organising social events and providing assistance on SPM initiatives. Developing knowledge of broader SPM activities. Liaising with other LME and HKEX teams to build relationships and facilitate organisation.
Academic and professional qualifications required
Grade 4/Grade C and above in GCSE English and Mathematics. Professional administrative/secretarial qualification preferred.
Required knowledge and level of experience
Demonstrable experience in an administrative or secretarial role, preferably in the same sector.
Skills set and core competencies required for role
Excellent communication skills, both written and oral, with experience communicating with global audiences preferred. Professional and possessing good manners, able to interact with significant internal and external stakeholders. Interest in learning new concepts, business areas, and skills. Highly organised with strong multi-tasking and time management skills. Excellent proficiency in Outlook, Word, Excel and PowerPoint. Ability to prioritise among multiple individuals’ demands. Able to maintain confidentiality and act with discretion. Confidence to follow up as required, obtaining information from multiple sources.
