The role includes both office-based work and on-site event support. Hours of work will be flexible depending on the events schedule, with some evening and weekend work required in line with business needs.Job SummaryThe Membership Executive plays a key role in supporting both the administrative and experiential aspects of The House of KOKO’s Membership team. This full-time position bridges member relations, event coordination, and departmental administration, ensuring that our members receive an exceptional experience from application to renewal - and throughout their journey with us.Working collaboratively across departments, the Membership Executive will manage CRM data, streamline processes and provide hands‑on support for the delivery of our members’ events programme. The ideal candidate combines operational efficiency with a personable, proactive approach to community engagement and service.Working closely with the Membership team and Operations, you will help facilitate the successful running of our members’ events, including the preparation of function sheets, logistics coordination, supplier liaison, and on‑the‑day event support from set‑up through to execution and post‑event administrational tasks.Role and ResponsibilitiesMembership Administration & CoordinationManage the membership CRM system to ensure all member data, engagement activity and application records are accurate and up to date.Produce regular reports for senior management and finance on membership numbers, renewals, resignations, and applicant pipeline.Manage membership applications and renewals, including correspondence, payment processing and membership materials.Maintain the KOKO waiting list and respond to related enquiries with professionalism and accuracy.Conduct competitive research and analysis to support the development of the membership programme.Support budget tracking, expense processing, and departmental administrative reporting.Member Communication & ServiceAct as a point of contact for members, ensuring all enquiries are handled efficiently and in line with KOKO’s tone of voice.Ensure timely and accurate communication across all stages of the membership journey, from application to renewal but with dedicated focus on onboarding.Assist in drafting and distributing member updates and event communications.Build trusted relationships with members, helping foster a connected community.Event Coordination & DeliveryProvide logistical and administrative support for the planning and delivery of member events and activations.Prepare detailed function sheets and event documentation, ensuring information is communicated accurately across internal teams.Coordinate event logistics including supplier communication, guestlist management and on‑the‑day execution support.Conduct site visits and oversee pre‑event setup, ensuring all details are delivered to a high standard.Maintain post‑event records and assist with evaluation, feedback, and reporting.Departmental Support & CollaborationAttend planning meetings, taking minutes and tracking follow‑up actions.Support cross‑departmental communication to ensure a seamless member experience across all touchpoints.Manage stock and ordering of membership collateral such as welcome packs, stationery, and branded materials.Provide general administrative assistance to the Membership Managers and wider team as required.About youWe’re looking for an organised, personable and detail‑oriented professional who thrives in a dynamic environment and enjoys combining administrative precision with creative energy, with the following key attributes:Proven experience in membership administration, event coordination, or hospitality operations, ideally within a members’ club, cultural venue, or premium lifestyle brand.Strong CRM and data management skills with excellent attention to detail and accuracy.Excellent communication and interpersonal skills, with confidence in written and verbal correspondence.Highly organised, proactive, and adaptable, able to manage multiple projects and priorities.Team player with a solution‑focused attitude and a calm, professional approach under pressure.Comfortable working occasional evenings or weekends to support member events.Passion for music, culture and hospitality, with an appreciation of KOKO’s creative community. #J-18808-Ljbffr
