The Role
We are seeking a dynamic and proactive individual with exceptional administrative skills and meticulous attention to detail to join an expanding Operations team for a luxury travel company. The role operates within a hybrid working scheme, with most team members in the office two days a week (or more, should you wish!)
You will work closely with the Head of Operations to support the smooth running of the department, managing post-booking administration and inquiries while ensuring precision and outstanding customer service throughout the booking process.
Key Responsibilities
- Verify supplier invoices against booking details for accuracy and compliance.
- Create and prepare client documentation using set templates with precision.
- Process incoming client payments and outgoing supplier payments on time.
- Manage and resolve booking changes efficiently.
- Ensure all documentation is accurate and delivered promptly.
- Communicate with external suppliers via email and phone to maintain smooth collaboration.
- Prioritize daily workload to meet deadlines.
- Respond to client and supplier queries effectively.
- Maintain high levels of customer service throughout the booking process.
- Collaborate effectively with internal teams.
- Multi-task and manage various responsibilities simultaneously.
- Stay organized, motivated, and proactive in completing tasks.
Preferred Experience & Skills
- Minimum 2 years’ experience in Luxury Travel administration or customer-focused roles.
- Strong attention to detail with excellent grammar and spelling.
- Confident, clear, and professional telephone manner.
- Competent in Word and Excel.
- Ability to work independently and take ownership of tasks.
- Strong organizational and numerical skills.
- Ability to multi-task and prioritize effectively.
- Highly organized, self-motivated, and proactive.
