Studio Co-ordinator at Leading International Architecture Practice


Location: Central London (On-site)

We are seeking an experienced Studio Co-ordinator to become an integral part of our London team, supporting the smooth running of our operations and contributing to the delivery of large-scale, mixed-use projects worldwide.

About the Role


As Studio Co-ordinator, you will be the backbone of our London office, ensuring efficiency and organisation across all aspects of administration and office management. This is a permanent, full-time position based on-site, offering the opportunity to work in a dynamic, collaborative environment where creativity and professionalism thrive.


Key Responsibilities:


  • Manage all incoming calls, emails, and enquiries, ensuring timely and professional responses
  • Welcome guests, clients, and consultants, maintaining a positive first impression of the studio
  • Oversee daily post distribution and outgoing mail
  • Maintain office calendars and team whereabouts
  • Provide administrative and HR support to Directors and project teams
  • Organise meetings and events, including room bookings, catering, logistics, and presentation materials
  • Handle secretarial tasks such as expense management, document editing, and filing
  • Coordinate travel arrangements and liaise with suppliers for office needs
  • Supervise housekeeping and ensure compliance with studio policies and standards
  • Assist with building operations and maintenance
  • Support document control and ISO quality assurance processes
  • Champion equity, diversity, and inclusion across all workstreams


Skills and Qualities:


  • Legally eligible to work in the UK
  • Fluent in spoken and written English
  • Highly organised, proactive, and able to manage confidential information
  • Strong interpersonal skills with the ability to work independently and collaboratively
  • Calm under pressure, adaptable, and resilient
  • Professional, punctual, and reliable


Experience and Knowledge:


  • Previous experience in a similar administrative or office management role
  • Degree-level education (or equivalent)
  • Proficiency in MS Office (Word, Excel, Outlook, Acrobat)
  • Basic knowledge of Adobe InDesign and Photoshop
  • Familiarity with Smartsheet and ISO quality management systems is advantageous
