We are seeking an exceptional Executive & Administrative Operations Assistant — someone who brings precision, discretion, and a service mindset to every detail. This is not a conventional assistant role; it is a trusted, operationally critical position that ensures the seamless running of both the Founder’s professional and personal affairs.
The Role
You will act as the operational right hand to the Founder, managing high-level administrative and logistical workflows across multiple entities. This role requires someone with a meticulous eye for detail, a calm and composed presence, and the ability to anticipate needs before they arise.
Core Responsibilities
Executive Support
- Manage the Founder’s inbox and calendar with discretion and foresight, ensuring priorities are protected and commitments honoured.
- Coordinate meetings — in-person and virtual — including invitations, confirmations, agendas, and follow-up.
- Safeguard focus and personal time through structured scheduling.
Entity & Compliance Administration
- Maintain current corporate records, director information, and cap tables.
- Track and ensure timely submission of all statutory filings across entities.
- Liaise with accountants, legal counsel, and compliance advisors to facilitate smooth operations.
- Maintain a flawless digital filing system with consistent naming protocols.
Financial Administration
- Oversee payment and subscription trackers.
- Process invoices promptly upon approval.
- Conduct periodic expense reviews to identify efficiencies.
- Maintain accurate investment transaction logs for monthly NAV reporting.
- Liaise with accountants to supply documents, clarify queries, and ensure monthly financial statements are delivered.
Travel & Lifestyle Logistics
- Curate end-to-end travel arrangements — flights, accommodation, event passes, and local services.
- Prepare comprehensive travel packs including itineraries, documentation, and contingencies.
- Arrange property care during travel periods.
Confidential Document & Security Management
- Handle sensitive information with complete confidentiality.
- Maintain and manage secure password storage systems.
- Oversee regular data backups to encrypted offline drives.
Weekly & Monthly Operational Rhythm
- Conduct a Friday administrative review to ensure inbox clearance, task completion, and readiness for the week ahead.
- Prepare Monday briefing notes to enable decisive action at the start of each week.
The Ideal Candidate
- Experienced in supporting senior executives, founders.
- Exceptional organisational skills and the ability to manage multiple priorities with grace under pressure.
- Highly proficient with digital tools (Google Workspace, Notion, Excel/Sheets, password managers, task boards, Kubera).
- A discreet professional who understands the nuances of confidentiality and trust.
- Proactive, anticipatory, and solutions-oriented — you see potential issues before they arise.
