Engineering Office Manager

Hotel Café Royal, a 5-star luxury hotel in the heart of London, is seeking an Engineering Office Manager to oversee the day-to-day administrative and operational tasks within our Engineering department. With 159 rooms and suites, a luxury spa, a swimming pool, five food and beverage outlets, and several kitchens, the Engineering team plays a vital role in maintaining the hotels world-class facilities and guest experience.
As the Engineering Office Manager , you will work closely with the Director of Engineering and Assistant Director of Engineering to ensure the smooth running of the department, managing a team of 18 Shift Engineers and specialists. You will coordinate with various departments, oversee contractor scheduling, and ensure compliance with maintenance schedules and annual inspections. Strong administrative experience and excellent organizational skills are essential for success in this role.
Key Responsibilities:
Department Coordination:
Assign daily tasks to the Shift Engineers and specialists, ensuring effective workflow and task prioritization.
Act as the main liaison between the Engineering department and other hotel departments to address operational needs.
Maintain detailed records of ongoing projects, completed tasks, and upcoming inspections.
Contractor and Maintenance Management:
Schedule and coordinate external maintenance services and contractors, ensuring compliance with annual inspections and maintenance timelines.
Monitor and manage service contracts, ensuring all services align with hotel standards.
Administrative Tasks:
Use HR systems (e.g. Fourth) to manage team rotas, including creation, closure, and tracking absences and holidays.
Work with Opera to manage room statuses, including allocating Out-of-Order (OOO) and Out-of-Service (OOS) rooms.
Manage the departmental budget by processing requisitions, purchase orders, and goods received through Adacco purchasing systems.
Utilize Amadeus (HotSOS) to create, assign, complete, and void profiles and issues.
Prepare reports and maintain accurate records for compliance and internal audits.
Team Support:
Support the Director of Engineering in planning and implementing departmental strategies and initiatives.
Facilitate communication within the Engineering team and provide administrative support as needed.
Coordinate onboarding for new team members and assist with training schedules.
Your Profile:
Strong administrative background, ideally within hospitality or a related field.
Proficient in HR systems (e.g., Fourth) for managing rotas and team schedules.
Advanced Excel skills for data analysis and reporting.
Experience with Opera for operational tasks and room management.
Familiarity with Adacco purchasing systems for requisitions, purchase orders, and vendor management.
Working knowledge of Amadeus (HotSOS) for issue tracking and management.
Experience with Docusign is highly desirable.
Exceptional communication skills, with fluent spoken and written English.
Highly organized, detail-oriented, and proactive.
Ability to work collaboratively with diverse teams across the hotel.
Flexibility to work weekends and bank holidays as required.
