Job Description To ensure that the C&E revenue targets are met, with high emphasis on diary management and yielding of the business. Managing a team of 7 and ensuring that response times are met, demand calendars are adhered to, and the team are focused commercially to meet the demands of the business as well as ensuring flawless event planning and co-ordination.

Role in our Family C&E REACTIVE SALES:
To train and monitor standards in the G,C&E office to ensure the right business is converted with the highest yield.
To be responsible for driving key sales and marketing activities through the Commercial Focus Plan, highlighting need dates with the right lead in time to generate business.
To ensure team members have the skill set enabling them to take calculated commercial decisions.
Provide direction and follow up on all activities of the team, through a daily/weekly review of response times, new bookings, outstanding options and activities.
Establish and maintain strong business relationships with key customers and stakeholders
Ensure team members are trained and confident to handle customer calls as per the company call handling and Service Practise standards.
Produce accurate weekly and monthly rolling G,C&E forecast with detailed analysis of business on the books and expected revenue pick up. Groups should be forecasted in conjunction with the Revenue Manager.
To ensure the G,C&E reactive team is working in synergy with the C&E Planning team, Reservations and all Hilton Worldwide Sales offices.
Active involvement in producing the hotel budget with the Commercial Director providing detailed analysis of forecasted and confirmed business, along with detail on proposed business strategy for the future.
Implement an effective selling strategy utilising the demand calendar and ensure this strategy is adhered to and understood at all levels.
Ensure need periods are identified and communicated quickly to allow maximum selling time.
Ensure the G,C&E revenue is converted into cash, with adherence to the Hotel credit policy.
Ensure non-contracted customers are quoted the same rates (rate parity) irrespective of the chosen booking channel used.
Ensure all annual events are analysed before re-contracting to review each events profitability and demand for that date.
Ensure accuracy and timely production of G,C&E statistics and comparisons e.g. G,C&E enquiry levels, conversion statistics, etc.
Ensure commercial management techniques are up to date and all systems are used to the full to yield the highest possible amount of revenue from available space.
Overall responsibility for the configuration and housekeeping of all systems in C&E. Oversee, spot check and communicate data input accuracy in C&E. System management will include, but is not limited to:
Delphi.fdc
3d Party and other hotel booking sites e.g. Starcite/Cvent
Meeting broker lead management system
Loading of all pricing, packages, promotions and hotel information on various C&E systems.
Compile reports as and when necessary, which will assist in identifying peaks and troughs, business patterns, productivity and profitability.
Approve all holiday planning for the team, ensuring that the department is staffed appropriately for customer demand.
Produce month end pack requirements.
Ensure all refused business is recorded with reasons for refusal.
Police adherence to strategy and policy through regular checks.
Attend Commercial briefings, forecast meetings, Business Focus Meetings, Commercial Focus Meetings, Month end reviews with all relevant and up to date information relevant to each meeting.
Ensure repeat business is contracted in a timely manner.
C&E PLANNING:
Analyse guest insights to identify and meet customer expectations and build on guest loyalty
Ensure that there are pre and post con meetings are held regularly
Ensuring that group/event resumes are sent out in a timely manner for the hotel team to be prepared to deliver a first-class event
Ensure that all BEOs are agreed and signed by the client.
Be aware of any 3rd party agreements that hotel has with regards to events to ensure that the hotel is being compensated.
Ensuring the planning team are:
Interacting with guests to ensure expectations are being met
Communicate changes provided by guests to relevant departments using agreed method of internal communication.
Act as the first point of contact for immediate assistance during Groups, meetings and events, acting as the conduit to channel requirements to other hotel departments.
Greet meeting planners, accompany them to their meeting room and run through the order of events.
Establish a good rapport with clients, maintaining positive relationships with meeting planners and delegates and third party suppliers.
Support the organiser/chairperson/facilitator in the use of and understanding of the basic AV and technical equipment in the meeting room. For meetings with more comprehensive AV requirements the AV expert will be responsible for this, and the Event Manager will simply manage and oversee the support required
Attend to customers requests during the meeting e.g. internet access, air-conditioning, lighting, additional AV requirements, adjustments to break times in collaboration with the Events Operating Department.
Attend to and resolve customer complaints.
Ensure all customer feedback compliments/complaints and any requested changes impacting the organisation of the event are collated and passed on to the relevant internal departments.
Attend to customers incoming mail, messages, and deliveries.
Be prepared and equipped to meet the diverse cultural needs of guests from around the world.
Attend weekly BEO meeting to communicate.
Ensure Testimonials are taken after departure of Organiser.
