Main duties and responsibilities
SYSTEMS
Be fully acquainted with the Purchasing System, to ensure that it is used to its full potential as a business tool to enhance reporting, control and operation of the function.
Assist in the preparation of any ad-hoc analysis or reports as requested.
PROCUREMENT
Source, quote, and purchase ad-hoc products where required in line with hotel and group purchasing standards.
To obtain and co-ordinate all product and purchase specifications from the various Department Managers.
POLICIES AND PROCEDURES
To maintain all systems of work that cover every aspect of the hotels purchasing, including the receiving, storage, control and distribution of goods, ensuring that these are in line with Maybourne standards.
Ensure Purchase Order procedures are in place and adopted within the hotel for goods of any kind and that specific authorisations are gained prior to processing.
Manage, co-ordinate and supervise all purchasing related issues.
To Challenge and authorise all Purchase Orders before forwarding to Financial Controller for approval.
RECEIVING
To receive all relative deliveries, advise requisitioning departments that products have arrived and deliver as necessary.
Ensure invoices are checked, verified and approved prior to processing for payment.
Ensure that each department in the hotel receives goods and services as required and to the standards they require.
To arrange for ad-hoc parcel deliveries to be distributed.
To implement all operating and control procedures to ensure that movement of goods into and within the hotel is properly accounted for.
To manage and direct the work of the Purchasing Assistant, and Goods Receiver and traffic officer on all their duties in daily basis.
INVENTORIES
Proactively assist and support monthly stock-takes of the inventory storerooms and other areas as directed and to support effective stock Management.
Ensure that inventoried items are stored properly and issued in rotation to minimize wastage and spoilage.
To establish inventory items and par stock levels.
