We are looking for a highly organised and detail-focused Senior Project Coordinator to join the Rapport team. This role is central to the Facilities Management function, ensuring the effective coordination of administrative processes, project tracking, and operational reporting across a large retail estate.

You will be the backbone of project delivery, ensuring information is accurate, actions are followed through, and stakeholders remain aligned.
About the Role
You will support a team of Facilities Managers by providing high-level administrative coordination, ensuring all project activity is tracked, documented, and delivered on time.
A significant part of this role is hands-on administration and reporting , including maintaining systems, updating records, and producing high-quality reports using Excel. You will play a key role in keeping workstreams organised, visible, and progressing effectively.
You will also support asset tracking and verification, ensuring all data across store locations is accurate and up to date.

Monday & Friday: Work from home
Tuesday to Thursday: On-site
What You'll Be Doing Providing strong administrative coordination across multiple Facilities Management projects
Maintaining accurate records, trackers, and documentation across all workstreams
Supporting Facilities Managers with structured follow-up, diary coordination, and task tracking
Ensuring actions are clearly recorded, owned, and completed within deadlines
Producing regular reports using advanced Excel skills , including pivot tables and data analysis
Monitoring service provider information and ensuring reporting is accurate and consistent
Supporting asset verification processes and maintaining high-quality data integrity
Acting as a central point of coordination to ensure smooth communication across teams
Proactively identifying gaps in administration, processes, and follow-up
What We Are Looking For Strong background in administration and coordination roles (essential)
Highly organised with excellent attention to detail
Confident using advanced Excel (pivot tables, formulas, reporting, data management)
Experience maintaining systems, trackers, and structured documentation
Ability to manage multiple priorities in a busy environment
Strong communication skills and stakeholder coordination experience
A proactive, self-motivated approach with strong ownership of tasks
Comfortable working independently while keeping teams aligned and informed
