Job Overview
Under limited direction, provide administrative support to the Global Co-Head of ECM and Head of Technology Financing. Duties are complex and highly confidential in nature requiring a great use of discretion. The role will include some client interaction and liaison at CEO / Chairman level as well as regular contact and communication with high-level management both within Citi and externally.
Responsibilities:
- Complex calendar management using own initiative and exercising own judgement
- Screen calls/incoming mail - be an effective gatekeeper; take messages efficiently and accurately
- Monitor and ensure implementation of company policy
- Compose and prepare internal/external correspondence in addition to maintaining, answering and routing correspondence not requiring manager's attention
- Coordinate all aspects of executive level manager appointments, meetings, receptions and conference/video calls
- Assist with creation / modification of presentations, spreadsheets and other various documents
- Collation and preparation of expense receipts and supporting documentation for Mumbai team processing
- Coordinate travel arrangements, understanding executive's travel preferences and needs, using initiative in managing itinerary times and costings. Arrangement of Visas where required.
- Create and maintain correspondence and record files
- Assist and fill in for other support staff
- Train, coach or guide other administrative staff where required
- Assist with any other ad hoc reports and special projects as required
- Run and review weekly and monthly client tracking reports on internal reporting systems ensuring deadlines are met
- Assist in organising group morale events and franchise parties
- Assist with Client events where required
- Enter and manage client meetings via internal CRM application
- Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgement regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency
- May prepare and review materials and correspondence for meetings
- Prepares, reconciles and tracks expense reports
- Exposure to CEO / Chairman level clients
- Opportunity to work in a complex and fast-paced banking environment
- Insight into the day-to-day operations within the Investment Bank
- Opportunity to build up own network within the industry
- Significant experience at senior level within a corporate environment, ideally within IB
- Degree level qualification an advantage
- Professional secretarial qualifications advantageous
- Proven experience of operating all office equipment and ability to train others in use of the same
- Substantial experience of operating in a similar role in a professional services environment, ideally within IB.
- Proven experience of adapting to changing circumstances, responding to varying business needs and priorities
- Demonstrable experience of working effectively in a high-pressure and challenging environment
- Highly proficient in MS Office applications, including use of Outlook as a business tool
- Strong IT skills; experience of internal Citigroup applications an advantage
- Strong interpersonal and organizational skills
- Consistently demonstrates clear and concise written and verbal communications skills.
