Are you an organised and proactive administrator looking to support a dynamic development team? We're seeking a Project Administrator to provide high-level administrative support to the Operations Director and wider team in a fast-paced and collaborative environment.
\n
Key Responsibilities:
\n
\n Provide full project administration for live development projects, including drafting agendas, taking minutes, assigning actions, and tracking progress. \n
Ensure all weekly and monthly project deadlines are met and documentation is issued accurately and on time. \n
Maintain efficient filing systems (electronic and paper) and ensure data accuracy. \n
Assist in producing reports and presentations for senior stakeholders. \n
Manage the Operations Director's mailbox and correspondence, ensuring timely updates and responses. \n
Handle confidential information with discretion. \n
Some PA duties including - Coordinate diary management and liaise with internal and external stakeholders. \n
Reconcile monthly expenses and support travel and accommodation bookings. \n
Assist with general office tasks such as printing, post, and registered mail. \n
Promote a positive and proactive team culture. \n

The ideal candidate will have proven experience supporting senior-level executives, demonstrating excellent communication and interpersonal skills across all levels. You'll be confident and assertive, with a strong sense of discretion and professionalism when handling sensitive information. A methodical and pragmatic approach to work is essential, along with the ability to meet deadlines and manage multiple tasks independently. You should be highly organised, detail-oriented, and proficient in Microsoft Office applications including Word, Outlook, Excel, and PowerPoint. Experience drafting clear and focused correspondence, producing effective agendas and minutes, and managing administrative procedures is key. Familiarity with IFS
\n
systems is desirable but not essential. Above all, you'll bring a flexible, hands-on attitude and a collaborative spirit to support a busy and evolving development team.
