In this busy role you will provide support to the HR Data and Payroll Manager and Administration Lead by assisting with HR Administration and System/ Data requirements across the Topps Group. Key responsibilities include ensuring the accuracy and integrity of HR systems and data, supporting the production of monthly management reports, and contributing to all transactional HR processes from recruitment through to leaver administration for colleagues, line managers, and the wider HR team.
Data and Systems Produce the monthly management information reporting suite to support key business decisions and track progress against the people agenda. Maintain the structure and functionality of HR systems to ensure they meet business needs. Collect and upload reward data into the HR system to enable accurate reporting and system functions, including total reward statements for colleagues.
HR Administration Take ownership of all HR administration processes from onboarding to leavers, ensuring accuracy and compliance with GDPR. Process new starters and contract changes within the HR and Payroll system in line with company authorisation procedures. Assist with the preparation and storage of contracts and letters related to colleague contract changes. Provide support via the MyView inbox, including password resets, rota and holiday queries, and system troubleshooting. Run reports for the Payroll team and follow up with stores as required. Maintain an up-to-date company organisation chart. Provide monthly data and reports, including secondments, promotions, leavers, new starters, long service colleagues, hardship loans, and the Store Manager Health Care Plan.
People Act as first-line support for HR system-related queries via the case management software (Halo), resolving cases within agreed service levels to ensure smooth system functionality and a positive experience for line managers and colleagues. Build and maintain positive relationships with internal and external stakeholders to uphold the reputation of the HR function and the Topps Group.
Risk/Process Perform regular system health checks to ensure data integrity, accuracy, and security. Benchmark HR systems to monitor performance and identify improvement opportunities. Ensure confidentiality of all data and strict adherence to GDPR regulations to protect company information and reputation.
