Summary of key activities:
Support Head of Facilities with overseeing all property management and respective coordination- administrative or hands on.
Assist Head of Facilities with contractor management, procurement, and project coordination.
Manage contractors and vendors efficiently- admin elements as well as coordination on site.
Support the maintenance of building systems, fabric, and safety compliance.
Ensure communication across all TRG teams related to scheduled (and ad hoc) facilities related information.
Manage and update Pronett (CAFM)- monitoring of incoming jobs, internal/external allocation and scheduling, as well as managing the back office operation of the system- setting up contractors, budgets, PPM schedules and compliance.
Maintain accurate documentation of H&S, O&Ms, equipment, and training.
Coordinate facilities and maintenance related procurement.
Hold weekly inspection tours and host meetings with the Head of Facilities to report findings.
Coordinate daily tasks allocation to the maintenance team and track and update status.
Regular contact with the Head of Facilities to discuss any issues as and when they arise.
Skills and experience required:
Prior experience of experience of 1st and 2nd line support
Prior experience of supporting facilities department/ team in a similar environment/ industry is essential
Awareness of hard & soft services, including both reactive and planned maintenance is essential
Prior experience managing stakeholder and contractor relationship
Prior experience coordinating projects
Ability to work effectively across the Microsoft Office Suite
Knowledge of coordinating CAFM or similar database systems
High level of organisational skills with the ability to deal with conflicting priorities and deadlines
IOSH Managing Safely or Equivalent Level 3 Accreditation desirable
Sound knowledge of H&S and Compliance is essential
Proactive with ability to work on own problem-solving initiatives
Flexible with regards to working hours
Attention to detail
Enthusiastic, self starter with a ‘can do’ attitude
