\n\nA leading merchant investment firm is seeking an experienced Executive Assistant to join its London office. This role provides comprehensive support to a Senior Management Team member and their wider organisation. The position requires a highly adaptable and proactive administrative professional who can also assist multiple business units, ensuring seamless coordination and efficient operations across the firm.
\n\nThe ideal candidate will thrive in a fast-paced, dynamic environment, demonstrate exceptional organisational and communication skills, and maintain a high level of professionalism and discretion at all times.
\n\nKey Responsibilities
\n\nExecutive Support
\n\n- \n\t
- Provide high-level administrative support to a Senior Management Team member and their team. \n\t
- Manage complex and demanding calendars, including scheduling internal and external meetings and conference calls across multiple time zones. \n\t
- Coordinate extensive domestic and international travel arrangements, including itinerary management, expense tracking, and invoicing. \n\t
- Prepare, edit, and format correspondence, presentations, reports, and other documentation. \n\t
- Prepare and distribute meeting agendas and materials, including PowerPoint presentations. \n\t
- Process and submit weekly expense reports via Concur and handle paper submissions as required. \n\t
- Manage invoice processing and tracking. \n\t
- Handle incoming calls and welcome visitors at the London office reception. \n\t
- Maintain confidentiality and handle sensitive information with the utmost discretion. Collaborate effectively with colleagues across the firm’s global offices and administrative teams. \n\t
- Assist in planning and coordinating office events, meetings, and conferences, including logistics and catering arrangements. \n
Qualifications & Experience
\n\n- \n\t
- Minimum 5 years’ experience in an Executive Assistant or senior administrative support role within a fast-paced, professional environment. \n\t
- Experience in a smaller office setting and supporting multiple stakeholders is highly desirable. \n\t
- Exceptional organisational skills and meticulous attention to detail. \n\t
- Excellent written and verbal communication skills. \n\t
- Proven ability to prioritise and manage competing demands in a deadline-driven environment. \n\t
- Strong sense of professionalism, discretion, and integrity in handling confidential information. \n\t
- Demonstrated ability to build strong working relationships and collaborate effectively across all levels of the business. \n\t
